Design for exceptions as well as the routine path

Agree who can submit, approve, amend or administer each process. The design should address abandoned approvals, duplicate requests, connection failures, retries and escalation to a person. SharePoint lists, Dataverse, Forms, Teams and Power BI may be used where suitable and included in scope. Environments, connectors and production changes need named owners and documented access arrangements.

Copilot Studio within an agreed workflow

Where an agent is included, define the business question it should answer, its approved knowledge sources, the actions it may take and the points requiring a person’s decision. Testing should include incomplete information, unsupported requests, access boundaries and failed actions. The handover records who owns the agent, connections and knowledge, how changes are tested and how issues are escalated.

We begin with the current process, volumes, decision rights and systems of record. The design identifies each stage, required data and what happens when a step fails. Build and testing follow agreed acceptance criteria, with training and operating responsibilities established before wider rollout.

Scope and responsibilities

Product and connector availability depend on licensing and tenant configuration. Process owners remain responsible for decisions, data and approvals. Automation does not guarantee faster processing, fewer errors or regulatory compliance; monitoring and ongoing ownership remain necessary. Project scope and support are agreed separately.
